Junior Administration Specialist

Your main responsibilities:
- Maintain clean, organized meeting spaces and prepare refreshments in accordance with meeting requirements.
- Manage the archiving of signed documents, including contracts, NDAs, powers of attorney, and decisions.
- Receive, distribute, and archive inspection reports and decisions. Maintain and update a tracking spreadsheet for documentation.
- Oversee incoming and outgoing mail processes, including logging entries in the mail register. Manage courier services, particularly DHL shipments.
- Track mandatory employee trainings and maintain an up-to-date database of training completion dates.
- Order and manage stock levels for office supplies, groceries, cleaning materials, and other consumables.
- Ensure proper functioning of office equipment and facilities. Prepare spaces for internal events and conduct routine checks to maintain a professional working environment.
- Maintain records and oversee the distribution and return of office keys.
- Assist the Senior Administrator with organizing company events, coordinating travel orders, processing insurance claims, and managing company vehicles.

- You know MS Office and Google Workspace tools.
- You communicate in English (min. B2 level).
