The primary purpose of the role is to manage and drive key projects that transform administrative and office management processes across our offices in Poland and the CEE5 region. This role is crucial for ensuring the successful execution of administrative initiatives, streamlining operations, and delivering a modern, effective work environment that aligns with our cultural transformation. The Administrative and Process Optimization Lead will be a critical support function for senior leadership, providing project expertise and ensuring alignment with strategic objectives.

Zakres obowiązków:

  • Serve as the primary project lead for all initiatives related to administrative and office management transformation, reporting on progress to  Head of HR Operations
  • Plan, execute, and monitor the full project lifecycle, from initial concept to successful implementation and closure
  • Conduct detailed process analysis and mapping for existing administrative workflows (e.g., office management, facilities support, and vendor management) to identify opportunities for efficiency and standardization
  • Coordinate cross-functional project teams to ensure all key stakeholders are aligned and project objectives are delivered on time and within scope
  • Develop and manage project budgets, timelines, and resource allocation to ensure efficient project delivery
  • Act as a change agent, communicating project goals and progress to all levels of the organization and actively managing stakeholder expectations
  • Collaborate with senior management to conceptualize and execute projects aimed at creating an inspiring, modern office environment that supports our new corporate culture.

 

Wymagania:

  • At least 5 years of experience in end-to-end delivery of large, complex projects
  • Experience in process mapping and process optimization, in area of building administration
  • Highly flexible and agile approach to be able to deliver in a fast-paced, ever-changing, and high-volume environment, with the ability to be strategic and tactical when needed,
  • Experience in creating and/or using project management tools, working in different project methodologies,
  • Strong execution capability: independent, able to prioritize, create solutions and devise action plans, negotiate for resources and support, drive collaboration and manage stakeholders to make and deliver commitments through structured and pragmatic organizational processes
  • Highly flexible and agile approach to be able to deliver in a fast-paced, ever-changing, and high-volume environment, with the ability to be strategic and tactical when needed
  • Experience in the project work as part of a multidisciplinary, international team
  • A Project Management Professional (PMP) or PRINCE2 certification is a significant advantage
  • Confidence in the English speaking environment (in writing and speaking).
