Job description

We are seeking a Senior Executive Assistant to join the Executive Office at Allegro. In this pivotal role, you will act as a trusted operational partner to our CEO, driving leadership efficiency and allowing them to focus on high-impact initiatives.

Going far beyond traditional calendar management, you will provide substantive support, optimize internal processes, and work closely with the Manager of the Executive Office. As a key representative of the CEO’s office, you will interface directly with Allegro's top leadership and external stakeholders.



Your main responsibilities:

  • Business Partnership: Serve as a trusted partner and the primary point of contact between the CEO/Executive Team and internal/external stakeholders, managing communications and ensuring seamless coordination.

  • Strategic Support: Conduct regular briefings and debriefings with the CEO, provide data-backed recommendations, filter topics, and evaluate meeting requests to optimize the CEO's time.

  • Process Coordination: Structure internal processes, collaborate closely with the Executive Team, and brief external partners.

  • Representation: Represent the CEO and the company with high professionalism and cultural awareness, leveraging industry knowledge and networks.

  • Core Administration: Manage complex Executive calendars, prioritize meetings, and handle scheduling conflicts with efficiency and diplomacy.

  • Communications & Materials: Draft, review, and manage executive-level communications, agendas, reports, and presentations.

  • Project Management: Oversee high-priority projects, tracking progress and ensuring organizational objectives and deadlines are met.

  • Team Alignment: Work closely with the Executive Office Manager to distribute tasks efficiently and maintain an organized, effective work agenda.

This is the right job for you if you have:

  • Minimum of 3 years of experience supporting Executive Members, preferably in an international environment.

  • Proven experience in e-commerce is a plus.

  • Professional and emotional maturity.

  • High level of motivation and hunger for growth.

  • Proactive, goal-driven, and business-oriented mindset with a strong sense of ownership.

  • Exceptional interpersonal skills – a true "people person" with absolute sincerity, openness, and high personal culture.

  • Absolute discretion and an impeccable track record of maintaining strict confidentiality.

  • High level analytical skills and experience with data collection and analysis.

  • Openness to continuous learning and flexibility in a dynamic environment.

  • Polish and English level min. C1.

  • Driving licence cat. B.
