Job Description

We are looking for a Senior Resource Planning Specialist to join a team dedicated to running the entire contractor lifecycle smoothly, consistently and with real operational impact.

As a Senior Resource Planning Specialist, you will own the end-to-end administrative process for a defined portfolio of contractors - from start of cooperation to final invoice. By centralizing and standardizing this work, you will free Technology managers to focus on strategic priorities, not paperwork. So the impact is big:)

Key responsibilities

 

  • Act as a point of contact for escalation topics and vendor coordination.

  • Cooperate on the standardization of contractor-related processes across the Technology group, ensuring consistency and efficiency.

  • Prepare vendor orders and process requests with the Legal team, ensuring accurate documentation and timely approvals.

  • Coordinate the Purchase Order lifecycle: create shopping carts, track status and ensure smooth delivery to vendors.

  • Support new contractor engagement by handling internal administrative steps. 

  • Verify reports of delivered work with vendors and managers.

  • Check and process vendor invoices, confirming alignment with reports of delivered work and contract terms.

  • Ensure compliance with internal rules as well as legal and finance guidelines.

  • Analyze patterns in contractor management operations and recommend strategic improvements to leadership.

  • Ensure high quality of internal materials related to contractors and vendors management.

  • Participate in cross-functional discussions, ensuring seamless collaboration with business stakeholders.

We are looking for

 

  • Proven experience in contractor management, procurement operations, vendor coordination or a similar high-volume administrative environment.

  • Understanding of end-to-end processes: contracting, PO lifecycle, compliance and invoicing.

  • Demonstrated ability to independently resolve complex cases, spot risks and ensure accuracy across multiple systems.

  • Experience partnering with cross-functional teams (e.g., Legal, Procurement, Security, TA) and managing escalations.

  • Ability to analyze processes, identify systemic gaps, and suggest improvements or standardization initiatives.

  • Understanding of contractor-related administration.

  • General awareness of Technology environments - enough to understand basics of common tech roles.

  • Strong soft skills: excellent organisation, ability to prioritise effectively, close loops and manage multiple workflows simultaneously.

  • Strong communication skills to cooperate with stakeholders.

  • Language skills: Polish C1, English B2.
